Senior Reservations & Contracting Assistant
The Senior Contracting & Reservations Assistant provides essential administrative support to the Contracting & Reservations team, primarily focusing on implementing and maintaining Elements and Kaptio systems.
his role involves data entry, record management, and general administrative tasks related to contracting processes. The senior assistant also performs supplier validation by collecting the legal and financial information required by the Finance department to register new business partners in our systems and is responsible for checking supplier invoices. Information must be entered accurately into the systems to ensure supplier details are accessible to anyone within the company.
The role includes maintaining supplier and service records, supporting the team in sourcing new suppliers, providing general administrative support such as filing, data entry, and report generation, assisting in contract preparation and management, maintaining accurate records of supplier information, contracts, and rates, and supporting data analysis and reporting as needed.
The assistant also supports the Contracting Manager in preparing monthly reports and during the annual pricing process.
This is a full-time, permanent role operating on a hybrid basis from our office in Quito, Ecuador.
Some of the experience you’ll bring to this role will include:

Experience in purchasing, cost management, and logistics.

Basic knowledge of accounting and taxation.

Experience entering information into databases using Excel and performing administrative tasks.

Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook) at an intermediate level.

Ability to communicate in both Spanish and English (basic proficiency).
